GENERAL SUMMARY:
The Office Manager, in collaboration with the Director of Operations, is responsible for ensuring the optimum delivery of patient/customer services.
ACCOUNTABILITY:
The Office Manager reports directly to the Director of Operations.
ESSENTIAL RESPONSIBILITIES:
1. Organizes and supervises all of C & G MEDICAL SUPPLY LLC's key functions, services and programs used to provide patient/customer services.
2. Employs qualified staff and ensures continued competency through continuing education and performance evaluation.
3. Provides for initial orientation of all new employees.
4. Maintains C & G MEDICAL SUPPLY LLC's policy, procedure and personnel manuals.
5. Ensures through personnel supervision that all policies, procedures and protocols are followed.
6. Establishes and monitors an accounts receivable system for all billing and collections, including bad debt recovery.
7. Coordinates accounts payable and payroll activities.
8. Develops an annual operating budget and monitors general and administrative expenditures on a monthly basis.
9. Generates and evaluates relevant data journals and reports to maximize profitability and excellence in patient/customer services.
10. Prepares and submits to the Director of Operations monthly management reports on key operational elements.
11. Monitors Medicare and other third-party reimbursement trends for the home medical equipment and respiratory therapy industry and develops appropriate revisions to the system when so warranted.
12. Participates in the organization-wide performance improvement program as appropriate.
13. Maintains on-going liaison between the Director of Operations and staff through appropriate meetings, taking required action on recommendations and maintaining open lines of communication.

2. Possess a minimum of three-(3) years experience in a business office setting with such experience in a medical setting preferred.
3. Demonstrate an ability to supervise and develop the skills and performance of employees.

The Director, Clinical Respiratory Services is responsible for ensuring the consistent delivery of high quality clinical respiratory home care services to those patients referred for same.
ACCOUNTABILITY:
The Director, Clinical Respiratory Services reports directly to the Director of Operations.
ESSENTIAL RESPONSIBILITIES:
1. Ensures that the number, qualifications and competencies of individuals providing clinical respiratory home care services are adequate for the scope of services offered by C & G MEDICAL SUPPLY LLC.
2. Provides for the on-going direction and supervision of staff and contracted providers engaged in providing clinical respiratory home care services.
3. Arranges for access to qualified consultants when clinical matters arise which are outside of the normal, day-to-day operations of the organization.
4. Develops, implements, and periodically monitors the effectiveness of all policies, procedures and protocols addressing the delivery of clinical respiratory home care services.
5. Ensures that each patient/customer receiving clinical respiratory home care services has, as a part of their respective plans of service, an individualized, goal-directed respiratory care plan.
6. Ensures that each respiratory care plan is prepared in consort with and signed by the prescribing physician and is periodically reviewed and, where appropriate, revised/updated.
7. Facilitates on-going communication between professional staff and physicians prescribing clinical respiratory home care services.
8. Participates in the organization-wide performance improvement program.
9. Maintains the skills, abilities, and expertise required to effectively direct the delivery of high quality clinical respiratory home care services.
KNOWLEDGE, SKILLS, AND ATTRIBUTES:
1. Demonstrate good verbal and written communication skills.
2. Be capable of independent and mature judgment.
3. Possess good organizational skills, inclusive of time management.
4. Be capable of safely lifting up to 75 pounds.
5. Exhibit good personal hygiene and grooming.
EDUCATION AND EXPERIENCE:
1. An associate degree preferred.
2. Be a graduate of an AMA-approved respiratory care-training program.
3. Possess an active credential from the National Board for Respiratory Care (i.e. RRT, CRTT).
4. Possess an active license to practice respiratory care as required by state or local law.
5. Have a minimum of five-(5) years experience providing clinical respiratory care under medical direction with a minimum of three (3) years recent experience in the home care setting.
6. Have at least two-(2) years experience in a supervisory capacity.
GENERAL SUMMARY:
The Customer Services Representative assists patients in making decisions regarding the rental or purchase of home medical equipment and respiratory therapy services and supplies. Duties will include providing product information, verifying payment source and coverage criteria, completing orders, coordinating delivery, and assembling patient/customer files and records.
ACCOUNTABILITY:
The Customer Services Representative reports directly to the Office Manager.
ESSENTIAL RESPONSIBILITIES:
1. Assists in over-the-counter sales and/or rentals by identifying needed equipment and supplies and instructing patients in the safe and proper use, including maintenance.
2. Receives orders by telephone or fax and prepares all necessary paperwork to ensure timely delivery and set-up.
3. Review and process all necessary paperwork related to billing and collection.
4. Obtain and verify insurance coverage for all sales and rentals before equipment and supplies are delivered.
5. Review, prepare and maintain all documentation to be included as part of the customer file.
6. Receive and distribute all incoming mail.
7. Contact physicians, when necessary, to clarify orders received with respect to prescribed home medical equipment and respiratory therapy services and supplies.
8. Collect payments from customers who obtain equipment and/or supplies on a cash-and-carry basis.
9. Conduct a weekly inventory of retail sales items and arrange for the reorder of depleted stock.
10. Other duties as assigned.

2. Minimum one-year prior office experience required.
3. Prior knowledge of the medical field, with experience in home health care desirable but not necessary.
4. Prior experience in processing health insurance claims is strongly preferred.
